A case enters through a trusted door
A partner hospital or trained volunteer consultant submits the case, assembling identity documents, medical records, cost estimates, and income documentation. Volunteers themselves are background-checked and credentialed before they can submit anything.
An independent doctor confirms the need
A volunteer medical professional — independent of the referring hospital team — reviews the diagnosis, its severity, and whether the proposed treatment is appropriate. Only genuinely life-threatening cases proceed.
An external agency confirms the circumstances
A separate background verification agency independently confirms the family's financial condition and the authenticity of documents — and screens every application against existing cases to catch duplicates or fraud before they reach benefactors.
The need is broken into milestones
A financial consultant sets the total requirement and divides it into milestones — for example pre-treatment workup, surgery, and recovery — each with its own amount, timeline, and evidence requirement for release.
The case goes live, with consent
Only with the patient's (or guardian's) explicit approval of the story and any photos does the case appear on the platform — with the real cost, the milestone structure, and progress visible to everyone.
Benefactors fund the case — up to a cap
Give directly to a specific patient, or to the shared Common Pool. A funding cap stops any single case being over-collected; anything beyond the cap moves to the pool automatically, in real time.
Money moves only against evidence
When a milestone is reached, one finance team member reviews the evidence and a different person approves the release. High-value releases additionally require trustee sign-off. Funds transfer to the patient's dedicated account.
An independent check closes the loop
After every disbursement, the background verification agency confirms treatment progress and that funds were used as intended — before the next milestone opens. That report becomes part of the case record benefactors can see.
What happens to overflow and unused funds.
Two questions every serious benefactor asks: what if a case gets over-funded, and what if a patient doesn't end up needing everything set aside? CareTrack has a designed answer to both — money never dead-ends.
